Nexus Clinical Staffing ("we," "us," or "our") respects your privacy and is committed to protecting the personal information of candidates, prospective employees, and client representatives who interact with our website and placement services.

This Privacy Policy outlines how we collect, use, disclose, store, and safeguard your personal information in compliance with British Columbia’s Personal Information Protection Act (BC PIPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

We only collect personal information that is reasonably necessary to provide recruitment, staffing, and candidate placement services.

  • Candidate Information: Name, email address, phone number, physical address, employment history, resumes, cover letters, clinical licenses/certifications, professional references, and position preferences.

  • Client Information: Contact name, clinic/business name, job title, work email, phone number, and hiring requirements.

  • Website Usage Data: IP address, browser type, and standard web analytics data collected via cookies to optimize website performance.

    * Note: We do not collect Social Insurance Numbers (SIN), dates of birth, or banking information during the initial application or screening phase.

2. How We Use Your Information

We collect and use your personal information strictly for the following primary purposes:

  • Evaluating candidates' qualifications for healthcare and dental placement opportunities.

  • Matching candidates with potential employers and presenting profiles to client organizations (only with explicit candidate authorization).

  • Communicating regarding application updates, interview requests, and prospective job roles.

  • Managing client accounts, billing, and recruitment agreements.

  • Complying with legal, regulatory, and audit obligations.

3. Consent and Representation

By submitting your resume, contact details, or application forms through our website, you consent to the collection, use, and storage of your personal information as described in this policy.

  • Representation & Submissions: We will never send a candidate’s resume, contact details, or identifying profile to a prospective client clinic without obtaining the candidate's prior express consent (via email or direct sign-off).

  • Withdrawing Consent: You may withdraw your consent for us to collect or use your information at any time, subject to legal or contractual limitations, by contacting our Privacy Officer in writing.

4. Disclosure of Personal Information

We do not sell, rent, or trade candidate or client personal information to third parties. We only disclose personal information:

  • To prospective healthcare clients after receiving explicit candidate consent.

  • To trusted third-party service providers (such as secure cloud database hosts, email providers, or CRM systems) who assist in our business operations and are bound by strict confidentiality terms.

  • When required or permitted by law (e.g., to comply with a court order or legal process).

5. Data Storage, Security, and Cross-Border Transfers

  • We employ industry-standard technical, administrative, and physical safeguards—including encrypted cloud storage, multi-factor authentication, and restricted access controls—to protect your personal information against loss, theft, and unauthorized access.

  • Location of Data: Some of our software applications and cloud infrastructure providers may store or process data on secure servers located outside of British Columbia or Canada (e.g., in the United States). In such cases, your information may be subject to the lawful access laws of foreign jurisdictions.

6. Retention of Records

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable laws.

  • Under BC PIPA, if a candidate’s personal information is used to make a decision that directly affects them (such as presenting their profile to an employer or placing them in a role), we will retain that information for at least one (1) year following the decision date to allow the individual a reasonable opportunity to request access to it.

7. Access to and Accuracy of Your Information

You have the right to request access to the personal information we hold about you and to request corrections if you believe the information is inaccurate or incomplete.

To request access or corrections, please submit a written request to our Privacy Officer listed below. We will respond within 30 business days as outlined by PIPA.
